Lead list for an AI receptionist: ten real examples
Who buys an AI receptionist at plumbing, HVAC, roofing and dental businesses: ten real matches from sample runs, each with the reason it fits.
October 1, 2026·4 min read
An AI receptionist sells to the person who loses money when the phone rings out: the owner of a small plumbing, HVAC, roofing or landscaping business who is on a job all day, or the dentist who owns the practice. The ten rows below came back from three real sample requests, and the description quoted here combines them.
What went in
What you sell: an AI receptionist that answers calls and website visitors at any hour, works out what the caller needs and books the job.
Who buys it: the owner of an independent plumbing, HVAC, roofing, landscaping or dental business of 2 to 50 people, where a missed call is a missed job.
Who doesn't: franchise head offices, chains with their own call centres, answering services and other AI voice vendors, and technicians or staff who don't choose the tools.
What came back
| Role | Company | Region | Why it fits |
|---|---|---|---|
| Periodontist and practice owner | Independent periodontics and implant practice | Indiana, US | Founded the practice and takes new patients, so every call answered and booked out of hours is revenue. |
| Owner dentist | Implant and cosmetic dental practice | Georgia, US | One implant enquiry is worth thousands, so a missed call is expensive, and the owner decides what answers the phone. |
| Founder and owner dentist | Independent general dental practice | Florida, US | A growing practice where the owner decides how new-patient calls get answered and booked. |
| Owner | Residential and commercial roofing contractor | Oklahoma, US | Works on the roofs too, and calls spike after storms, which is when overflow goes to voicemail. |
| Owner and lead technician | Owner-operated HVAC company | North Texas, US | Does every job personally, so calls that come in while they're under a unit go unanswered. |
| Owner and general manager | Licensed HVAC contractor, residential and commercial | Michigan, US | Takes service calls from homeowners and businesses, and a missed one goes to the next number on the list. |
| Owner-operator | Landscaping company | Michigan, US | On job sites all day, so quote requests ring through to voicemail. |
| Owner | Garage door repair company | Kansas, US | A stuck door or a broken spring is an urgent call, and it goes to whoever picks up first. |
| Plumbing dispatcher | Drain and plumbing company | Missouri, US | Answers the phones and books the plumbers, so knows every call that rings out while on another line or off shift. |
| Owner | Family-run HVAC service company | Pennsylvania, US | Homeowners call for repairs and replacements, and an unanswered call goes to a competitor. |
What made someone fit
Every fit owns a small service business or runs its phones, and a call it misses is a job someone else gets. Owners who work in the field were the strongest picks, because they are the ones who can't answer. Most near misses had the right trade and the wrong job: drain technicians, garage door techs, HVAC installers, a landscaping crew leader, a dental hygienist and a chairside assistant. None of them choose what answers the phone. Franchisees were marked down because the brand often runs the call handling, and one HVAC franchise offers its owners a central call centre. A dispatcher at a large plumbing firm with its own call desk was dropped, while the dispatcher at a small drain company made the list. Company pages with no person behind them were set aside, along with pipe suppliers, a drainage-products sales manager and a county drain office. Words in a title also pulled in people from other trades: a restaurant manager whose restaurant has "garage" in its name, a freight dispatcher booking trucks, and a medical company with "rooter" in its name. The runs found dental owners and home-service trades easily, but turned up no law firms or real-estate offices.
